Poland's price transparency law and AI sales assistants. One price list everywhere
Poland's price transparency law requires every developer to keep one price list, updated daily. The trouble starts on the phone: a salesperson or a bot quotes an old price from memory or from a stale PDF. An AI assistant should quote from that same published list and leave discounts to your salespeople.
What the law requires
A developer selling new homes in Poland must publish the price of every unit on its own website each day and keep a record of every change. The result is one price list that any buyer can check.
The law is the Act of 21 May 2025 amending the Polish act on protecting buyers of new homes and on the Developer Guarantee Fund (Journal of Laws 2025, item 758). In Poland it is known as the flat price transparency act. It came into force on 11 July 2025. Since 11 September 2025 it has applied to every developer, including developments whose sales started earlier.
The developer's website has to show:
- the price per square metre and the total price of each flat,
- the prices of other paid items, such as parking spaces and storage rooms,
- the price history since the start of sales,
- a fresh update every day.
The developer also sends the same data every day to the Polish minister for digital affairs. It is published on dane.gov.pl, the government's open data portal, where anyone can download it and compare.
This article is not legal advice. For your own developments, your lawyer has the final word.
Where prices drift apart
Prices usually drift apart outside the website. The website list is updated daily because the law says so. Every other channel keeps its own copy, and someone has to remember to change it.
The usual places where an old figure survives:
- The phone. A salesperson quotes from memory, or from a printout that has been on the desk since last week.
- The PDF brochure. Emailed months ago and still passed between buyers and their bank.
- Property portals. A listing posted at launch, with a price nobody has changed since.
- A bot on the website or the phone. It was given the price list at setup and has worked from that copy ever since.
If the price in the contract differs from the published one, the buyer may demand whichever price is more favourable to them. Breaches are treated as practices that infringe collective consumer interests, and UOKiK, Poland's competition and consumer protection authority, enforces the rules.
Buyers don't have to take your word for it either. The price history is public, so a figure heard on the phone can be checked against what was published that day.
One price list as the single source
The assistant reads the same price list you publish on your website. It keeps no copy of its own, so nobody has to remember to update one.
Change a price in the morning, and the assistant quotes the new figure on the next call. For a unit marked as sold, it says the unit is no longer available. Parking spaces and storage rooms have their own prices in the list, so the assistant quotes those the same way.
An excerpt from our demo, the assistant Zosia at a fictional development called Jaśminowe Ogrody:
Caller: How much is the two-room flat on the first floor of building A?
Zosia: That is unit 4, 42.5 square metres, with an east-facing balcony. The list price is 14,400 złoty per square metre, 612,000 złoty in total. An advisor at the sales office will confirm the details. I can book you a viewing.
Those are the same two figures as in the demo price list for that development. A buyer hears on the phone what they read on your website.
Discounts stay with your people
The assistant quotes the list price and nothing else. It doesn't promise discounts or promotions, or hint that "something can be done about the price".
When a caller asks to negotiate, the assistant says an advisor handles terms, then books a viewing or, during office hours, transfers the call. The question goes into the CRM summary, so your salesperson knows what the buyer will ask.
Your team and your lawyer decide how a discount relates to the published price. The assistant doesn't make that call on the phone.
A checklist for your sales office
Pick three units in different buildings today and check that every channel quotes the same figure for them as the price list on your website.
| Channel | What to check |
|---|---|
| Website price list | Is it dated today, and does it include parking spaces and storage rooms? |
| dane.gov.pl | Does today's data match the price list on your website? |
| Phone | Call as a buyer and ask for a price. Where did the salesperson get it from? |
| PDF and brochure | Do they carry prices? If so, from which day, and who updates them? |
| Property portals | Does the listing price match the price list? |
| Bot or assistant | Does it read the published list, or a copy from the day it was set up? |
For each mismatch, find out who updates that channel and when. The simplest fix is fewer places where someone types a price in by hand.
Frequently asked questions
Will the assistant quote a price for a unit that is already sold?
No. When a unit is marked as sold in the price list, the assistant says it is no longer available and can suggest other available units from the same list.
What happens if you change a price during the day?
The assistant quotes whatever the published price list shows at the time of the call. You don't need to tell it separately.
What if the price list contains a mistake?
The assistant quotes the published figure, the same one a buyer sees on your website. Correct the price list, and the assistant quotes the corrected figure from the next call on. The phone and the website still match.
Does the caller know they are talking to AI?
Yes, the assistant says so in its first sentence. The requirement comes from Article 50 of the EU AI Act, which we cover in AI Act Article 50 and voice assistants.
Where to start
Run the checklist today on three units. You will see which channel quotes a different figure from your price list. To hear the assistant quote from a price list, try the demo with Zosia. For what the assistant does on a sales line, read An AI voice assistant for property developers. If you want to talk about your own price list, book a 30-minute call.
