An AI voice assistant for property developers. What it does on your sales line

An AI voice assistant answers your sales line when your sales team can't. It says it is an AI assistant, answers questions about units from the live price list, asks what the caller needs, books a viewing at your sales office and sends the lead to your CRM right after the call.

When the assistant picks up

The assistant answers when nobody else can: after office hours, at weekends, during a show-flat tour, and when several people call at once. You decide when it takes over.

Three setups cover most sales offices:

  • After hours only. During office hours the phone rings with your sales team as it does today. In the evening and at weekends the assistant answers.
  • When nobody picks up. The phone rings with a salesperson first. If nobody answers after a few rings, the assistant takes the call.
  • Always first. The assistant answers every call and handles the simple questions. During office hours it transfers the calls that need a person.

We suggest starting with the first or second setup. Your team barely changes how it works, and within a week you can see how many calls arrive while the office is closed.

What a call sounds like

A call feels like talking to a well-briefed member of the sales office. The assistant introduces itself, says it is an AI assistant and asks how it can help. It answers questions about units with figures from the price list.

An excerpt from our demo, the assistant Zosia at a fictional development called Jaśminowe Ogrody:

Caller: Do you still have three-room units with a garden?

Zosia: Yes, one. Unit 13 in building B, on the ground floor, 56.8 square metres with a 64-square-metre garden. The list price is 823,600 złoty. I can book you a viewing at the sales office so you can see the floor plan and meet an advisor.

During the call the assistant collects what a salesperson needs before the first meeting:

  • number of rooms and floor area,
  • budget, and whether the buyer pays cash or takes a mortgage,
  • when they want to move in,
  • preferences: floor, garden, balcony, orientation.

It asks one thing at a time, as part of the conversation, so the caller doesn't feel they are filling in a form.

Where the prices and availability come from

The assistant reads the same price list you publish on your website. If a unit sells in the morning, the assistant stops offering it by the afternoon.

Since 11 September 2025, every developer in Poland has had to publish flat prices daily on its own website and on the public portal dane.gov.pl. You keep that list current anyway, so the assistant reads it directly. Callers hear the same figures they see on your website and in the public data.

The assistant quotes the list price and says an advisor will confirm the details. Discounts, promotions and negotiation stay with your people.

What happens after the call

Right after the call, your salesperson has a viewing in the calendar and a lead in the CRM. Nobody has to transcribe a voicemail.

  1. A viewing in the calendar. The assistant sees your team's free slots and books a viewing at the sales office. At the end of the call it repeats the day, the time and the office address.
  2. A lead in your CRM or inbox. A summary goes to the CRM: the caller's name and number, what they are looking for, budget, cash or mortgage, the viewing time and any questions the assistant could not answer.
  3. A transfer to sales. When the office is open and the caller wants a person or wants to negotiate, the assistant transfers the call.

What the assistant doesn't do

The assistant takes over the repetitive part of the job. Decisions and the relationship with the buyer stay with your team.

  • It doesn't negotiate prices or offer discounts.
  • It doesn't take unit reservations or payments.
  • It doesn't pretend to be a person.
  • It doesn't guess. When it doesn't know, it says so and passes the question to an advisor.
  • It doesn't call people. It only answers incoming calls.

Who it makes sense for

It makes sense for a developer whose sales office takes calls from listings, property portals, site banners and the development's website. Companies with several developments on one sales line gain the most, because calls pile up there and salespeople are often out on site.

A smaller company with one salesperson uses the assistant differently. It picks up while that person is on site or on holiday.

Frequently asked questions

Does the caller know they are talking to AI?

Yes. Since 2 August 2026, Article 50 of the EU AI Act has required that people talking to an AI system are told so from the start. The assistant says it in its first sentence.

What happens when the assistant doesn't know the answer?

It says it doesn't have that information, notes the question and passes it to an advisor. The question appears in the CRM summary, so your salesperson calls back prepared.

How long does setup take?

Two weeks from kick-off to the first call the assistant answers. In that time we connect the price list, the calendar and the CRM, then test calls.

Are calls recorded?

That is your choice. If you record, the assistant tells the caller at the start of the call and says where to find the details.

Where to start

Check how many calls reached your sales line after 5 pm and at the weekend last week. Your phone operator's call log shows it without any extra tools. The assistant would take that many calls from day one. You can hear how it handles them in the demo with Zosia.
